Privacy Notice

The protection of your personal data is important to us. Below we inform you about which personal data we process when you use Betterplan and for what purpose.

2. General information on data processing

We process personal data exclusively in accordance with the General Data Protection Regulation (GDPR) and applicable national data protection laws.

Personal data are processed only to the extent necessary for the provision of our website, our software, or the performance of a contract.

3. Use of the website

3.1 Server log files

When you access our website, the following information is automatically collected:

IP address
Date and time of the request
Browser type and version
Operating system
Referrer URL

Processing is carried out to ensure technical operation and for error analysis.

4. Registration and use of the software

4.1 Data processed

When using Betterplan, we process in particular:

Name
Email address
Roles / functions
Content entered by users themselves (e.g. descriptions, comments, planning content)

Betterplan provides free-text fields. Responsibility for the type of personal data entered there lies with the user or customer.

4.2 Purpose of processing

Processing is carried out for the purpose of:

Providing the software
Managing user accounts
Collaboration within projects

5. Data processing on behalf (B2B)

Where Betterplan processes personal data on behalf of customers, this is done on the basis of a separate data processing agreement (DPA) pursuant to Art. 28 DSGVO.

6. Payment processing

For the processing of payments we use the payment service provider Stripe.

Stripe processes payment data as an independent controller within the meaning of the GDPR. Betterplan does not have access to complete payment data (e.g. credit card numbers or bank account details).

7. Website analytics (landing page)

7.1 Anonymized usage statistics

On our landing page (www.yourbetterplan.com) we use PostHog Analytics in cookieless mode to understand how visitors use our website and to continuously improve it.

Important: In cookieless mode, no cookies are set and no personal data are stored.

Data collected (fully anonymized):

Page views and clicks
Referrer (source page)
Approximate location (country/city, based on anonymized IP)
Device type and browser
Scroll depth

Privacy:

No cookies
No persistent user IDs or tracking identifiers
No session tracking across visits
IP addresses are anonymized
Data processing takes place exclusively on EU servers (PostHog EU Cloud)
No sharing with third parties

The data are anonymized to such a degree that they cannot be attributed to any individual and therefore do not constitute personal data within the meaning of Art. 4 No. 1 DSGVO (cf. Recital 26 DSGVO).

8. Usage analysis within the application (PostHog)

Within the Betterplan application (after login) we use PostHog to analyze usage and to improve features in a targeted manner.

Processing takes place exclusively following prior consent from users.

Data are processed on servers in the EU (Frankfurt).

Depending on the consent granted, the following data are collected:

Usage analysis:

Usage events (e.g. clicks, page views, feature calls)
Technical metadata (e.g. timestamps, device type, browser)

Session recordings:

Anonymized screen recordings for analyzing user flows
Input in form fields is masked

Personalization:

Email address for associating usage data
Feature flags and A/B tests for feature optimization

Content from input fields is not analyzed or stored.

Consent may be withdrawn at any time within the application under “Profile → Privacy”.

9. Error tracking and technical stability (Sentry)

To monitor technical stability and for error resolution we use the service Sentry.

Only technical information necessary for analyzing and resolving errors is processed, e.g.:

Time of error
Device type and operating system
Browser used
Technical error details (stack traces)

Content, text input, or sensitive data are not evaluated.

10. Email communication and mailing list

For sending emails and information we use ConvertKit.

Subscription to a mailing list is voluntary. Processing takes place exclusively following consent.

11. Hosting and infrastructure

Our infrastructure is operated by the following service providers:

Hetzner Online GmbH – Hosting
Supabase – Database and authentication

Processing takes place exclusively on servers within the European Union.

12. Data deletion

Users can export and delete their project data themselves.

The complete deletion of a user account is carried out on request by email and is processed manually. Automatic deletion after termination of contract does not take place.

13. Your rights

You have the right at any time to:

Access to your stored data
Rectification of inaccurate data
Erasure of your data
Restriction of processing
Data portability
Withdrawal of granted consents

We reserve the right to update this privacy notice as may be required due to technical or legal developments.
